The communication plan is the integration's most visible operational document. Every stakeholder group has a specific plan. Every channel has a timing. Every deliverable has an owner. And everything locks down before close so that Day 1 activates cleanly, simultaneously, and without improvisation.

The communications meeting 15 days before close is where managers get prepared. Vice Presidents and Senior Managers spend half a day walking through the NewCo overview, the transaction implications, Day 1 communications logistics, and each functional area's specific playbook — HR, Sales, Procurement, Finance, Legal, IT, and Manufacturing. The goal is that every manager arrives on Day 1 knowing exactly what they're responsible for saying, to whom, and in what format. Checkpoint calls with the IMO follow to confirm readiness and resolve any final questions.

Day 1 activates simultaneously across all channels. At 6am, the press release crosses the wire, the CEO welcome message distributes to all employees, and the integration portal goes live with the welcome video, employee information guide, FAQ library, and resource center. Website and social media banners are released globally. Customer and supplier notification letters go out. Site visits and town halls begin. The CEO-hosted global webcast runs as the central event, welcoming all employees into the new company with the vision, scope, footprint, and leadership introduction. Days 2 and 3 shift to functional engagement — HR, Manufacturing, Finance, IT, and Sales and Marketing leaders each connect with their counterparts to establish working relationships and begin conveying integration plans. Key customer accounts get personal outreach from their account managers. Supplier relationships are managed the same way, with direct engagement from their contract owners. From Day 30 forward, the integration portal becomes the standing communication hub, updated regularly with news, milestones, and employee resources.
