Day 1 Information Technology Communication
Body

This M&A Day 1 CIO memo prepares employees for upcoming technology changes during an integration. The information is organized into several phases, each with a clear explanation of the changes, when they will occur, and how they will affect employees.

The first phase covers network upgrades in January, including new firewalls, upgraded wireless networks, and a transition to Nord VPN for remote access. Two new Wi-Fi networks are introduced—one for employees and one for guests—while the existing wireless network and VPN remain available until December 11 to ensure a smooth transition.

The second phase focuses on computer upgrades scheduled from late January through February. Local IT teams install security software, backup tools, Microsoft Teams, and migrate employees to the acquirer's Microsoft 365 email platform. The end result is a simpler user experience, with employees managing a single email account instead of two.

The third phase outlines the migration to the acquirer's core business systems, including Oracle, Salesforce, Delogue, and Zoho. Training is completed before the February 11 cutover, after which the legacy systems will be retired.

The memo concludes by reassuring employees that not everything is changing. SharePoint, engineering applications, and Zoom remain in place for the time being, helping reduce unnecessary concern. It also provides IT contact information for questions and thanks employees in advance for their patience during the transition.

By communicating these changes well in advance, the CIO eliminates surprises, sets clear expectations, and gives employees the confidence they need to navigate the transition successfully.
